Docsie AI SOP writer

Turn rough notes into SOPs and work instructions, in your template.

Pick shift notes, engineering notes or old drafts in your Docsie workspace and type /rewrite. You approve an outline, then Docsie writes the books and articles in your own template, keeping every value and warning from the sources. Skills, a glossary and reference files hold it to your rules, and nothing reaches readers until someone reviews and publishes it.

Every example on this page was recorded in Docsie's test environment with a fictional company (Acme Manufacturing). No customer documents.

Docsie's outline review for a rewrite: 5 books, 8 articles, source coverage complete, and a Warranty article with no source
01

The outline follows your template, gaps included

Engineering notes on a motion controller, rewritten into a five-chapter user guide. Each article lists its source; the Warranty page has none, so nothing is invented for it.

How it works

From notes to a guide in three steps.

The rewrite works on content already in your workspace: rough notes, shift logs, older articles and drafts.

Pick the sources

Type /rewrite in the AI assistant, choose the notes, name the guide and add any writing instructions. Optionally pick a template, a skill and reference material.

Approve the outline

Docsie proposes the books and articles, each with the sources it will use. Approve it, or ask for changes first.

Review, then publish

The guide is saved as a draft. From the result card, open it in the editor, request a review, translate it, export PDF or Word, or publish.

Notes vs SOP

What the notes said, and what the SOP says.

Examples from the videos on this page, recorded with a fictional company and fictional equipment.

In the notes

  • PL400, PL 400, KX2, check weigher
  • No word on which label rolls the KX-2 takes
  • No lockout steps, no protective gear
  • "Top it up from the blue drum"

In the SOP Docsie writes

  • PL-400, KX-2 and checkweigher, in titles and every step, with the values kept
  • LR-110 rolls only, and let the first two test labels run, from the handbook
  • An open question in each place a missing fact belongs, listed again at the end
  • HL-46 hydraulic oil with its part number, from a skill's reference file

Write in your template

Your template sets the chapters. The notes fill them.

Notes arrive in bench order, not reading order. The rewrite puts each fact where your template says it belongs, and when the notes are silent it says so instead of guessing.

02

Word numbering from the structure

With "Number exports as one guide" on, Export DOCX numbers the user guide from its chapters and sections: 2.2 Wiring, 2.2.1 Power, 2.2.1.1 Main power input.

The exported Word user guide with numbered headings 2.2 Wiring, 2.2.1 Power and 2.2.1.1 Main power input
Rewrite notes into your own template: chapters, sections and Word numberingEngineering notes on a motion controller become a user guide built on a numbered template. The outline follows the template's five chapters, a Warranty page with no source keeps its headings and says so, and Export DOCX numbers the Word file 1, 1.1, 2.2.1.Recorded in Docsie's test environment with a fictional company (Acme Manufacturing) and a fictional Acme X200 motion controller. No customer documents.
Open questions, not guesses: a Docsie skill for AI rewritesA one-file skill tells the writer never to invent a value. Two maintenance notes become procedures in the Preventive Maintenance template, with an open question wherever the notes are silent and a list of questions for the reviewer at the end.Recorded in Docsie's test environment with a fictional company (Acme Manufacturing) and fictional equipment. No customer documents.
Use what your docs already say: reference material in AI rewritesShift notes are the source; an equipment handbook is picked as reference material, not rewritten. The new guide adds the handbook's facts to the steps they belong to, and the handbook itself stays as it was.Recorded in Docsie's test environment with a fictional company (Acme Manufacturing) and fictional equipment. No customer documents.

Skills and reference files

Teach Docsie how your team writes, once.

A Docsie skill is a folder: a SKILL.md with a name, a description and your rules in plain sentences, plus reference files with facts the writer may use and an optional check script. Upload it in Skills & Agents, pick it on a rewrite, and the planner, the writer and the checks follow it.

03

A house style as a SKILL.md

The skill from the first tutorial. A reference file, parts.md, maps what the notes say to part names and numbers, so "top it up from the blue drum" becomes HL-46 hydraulic oil with its part number.

---
name: maintenance-style
description: Acme house style for maintenance procedures.
Numbered steps, a "Before you start" list, and parts
  named as parts.md names them.

# Maintenance style

Write for Acme maintenance technicians.

- Start each article with a section "Before you start"
that lists the tools and parts its steps use.
- Write every step as a numbered instruction that
  starts with a verb.
- Name each part and consumable the way parts.md
names it, with its part number the first time it appears.
- Keep every value, warning and check from the sources.
Build your first Docsie skill: SKILL.md and a reference fileA house style for maintenance procedures as a Docsie skill: the rules in SKILL.md and the part names in a reference file, uploaded in Skills & Agents and applied to a rewrite.Recorded in Docsie's test environment with a fictional company (Acme Manufacturing). No customer documents.
Reference files in a Docsie skill: facts your AI writer usesA torque table and one rule are added to a skill, and the rewritten procedure gives a torque the notes never stated. Then the limit: a skill gets one eighth of the model's context window, and a larger one is refused before the rewrite starts, with the file named.Recorded in Docsie's test environment with a fictional company (Acme Manufacturing), fictional equipment and a generated fictional parts catalog. No customer documents.
Give each chapter its own AI skill: templates and chapter typesA packaging-line operator guide has Overview and Procedure chapter types. A skill picked for Procedure only makes every procedure explain each device the first time a step names it, and its check runs on those articles alone.Recorded in Docsie's test environment with a fictional company (Acme Manufacturing) and fictional equipment. No customer documents.
Apply your own AI skill to every document rewrite: skills and workflow triggersA naming skill maps internal project names to public product names. Pick it on one rewrite, or build a workflow with Apply a skill steps and a trigger, so it runs on every rewrite that finishes and reports what it changed.Recorded in Docsie's test environment with a fictional company (Acme Manufacturing) and fictional products. Give a workflow step a shelf: fixed, from input, or after every rewriteHow a Docsie workflow step chooses which shelf it works on: a fixed shelf, a shelf passed in as input, or the shelf of every finished rewrite.Recorded in Docsie's test environment. No customer documents.

Glossary and checks

One spelling everywhere. A check on what was written.

Rules tell the writer what to do; a check looks at what it actually wrote. The workspace glossary fixes product names and terms in every rewrite, and a skill's check script verifies each article before you see it.

04

Skill checks on the result card

One check for the shelf, book and article names and one per article. Two had nothing to fix; in the guard procedure, the check found a person's name where a role belongs, and the editor fixed it.

A rewrite result card with next steps (open in editor, publish, request review, translate, export PDF, export DOCX) and three skill checks
One spelling in every rewrite: the Docsie glossaryAdd a term with its wrong spellings, import the rest from a CSV and set style rules. A rewrite with the glossary ticked uses one spelling in every title and step, and the same glossary guides video transcripts and generated documents.Recorded in Docsie's test environment with a fictional company (Acme Manufacturing) and fictional equipment. Add a check to your Docsie skill: verify every AI rewriteA short Python check in the skill's folder looks at what the writer actually wrote. The result card and the Jobs page list each skill check; in the tutorial, "Ask Dave in maintenance" becomes "Ask the maintenance team".Recorded in Docsie's test environment with a fictional company (Acme Manufacturing) and fictional equipment. Review, export and publish

Nothing goes live until someone says so.

A rewrite is saved as a draft. Ask a teammate to review it, export it for a supplier or an audit, then release it to your portal when it's ready.

Review an AI-written guide before it goes liveRequest review from the rewrite's result card: Docsie adds a review with Draft, Editing and Approval steps to the guide's project board, notifies the reviewer, and tells the requester when the review is done.Recorded in Docsie's test environment with a fictional company (Acme Manufacturing) and fictional equipment. No customer documents.
Export an AI-written guide to PDF and WordExport PDF from the result card gives a file with a cover page, then every article with its sections, numbered steps and values. Export DOCX gives an editable Word file with the same chapters and steps.Recorded in Docsie's test environment with a fictional company (Acme Manufacturing) and fictional equipment. No customer documents.
Publish an AI-written guide: draft to liveA rewrite is saved as a draft. Release the shelf draft with its books in one step, and portals pick up the change within a few minutes; the same menu makes a shareable document or a web portal.Recorded in Docsie's test environment with a fictional company (Acme Manufacturing) and fictional equipment. FAQ

Common questions

What is an AI SOP writer?

A tool that turns knowledge you already have into standard operating procedures. Docsie's SOP writer takes rough notes, shift logs or older articles in your workspace, proposes an outline for you to approve, then writes each procedure in your template, keeping every value and warning from the sources.

How do I write an SOP?

Pick one process and its owner. Write the purpose and scope, list what is needed before starting, then write numbered steps that each start with a verb, with warnings and checks where they apply. Have someone who does the job review it before it is released. In Docsie you start from your notes: the rewrite drafts the SOP in your template and marks what the notes leave out.

What is the difference between an SOP and a work instruction?

An SOP describes a process: what is done, by whom and why, across a team. A work instruction covers one task inside that process, step by step, at the level of detail an operator follows at the station. Docsie writes both from the same notes, each in its own template.

Can the AI follow my own document template?

Yes. Upload a numbered template and the outline follows its chapters, pages and sections. A section the notes don't cover keeps its headings and says the sources do not cover it. With "Number exports as one guide" turned on, Export DOCX numbers the Word file 1, 1.1, 2.2.1 from the structure.

What happens when my notes leave gaps?

Docsie does not invent the missing facts. A skill can go further: in the open-questions tutorial, the skill writes an open question where each missing fact belongs and lists every question at the end of the article for the reviewer.

What is a Docsie skill?

A folder of rules Docsie follows when it writes. SKILL.md starts with a short header (a name and a description) followed by the rules in plain sentences. The folder can also hold reference files with facts the writer may use and a check script. Upload it in Skills & Agents, then pick it on a rewrite.

How do I apply the same rules to every rewrite?

Pick the skill on the rewrite card for one rewrite. To make it automatic, build a workflow with Apply a skill steps and add a trigger that runs it whenever a rewrite finishes; each step reports what it changed. The workspace glossary has its own enforcement switch in Settings.

Can a rewrite use my existing documentation without changing it?

Yes. Pick existing articles under "Reference material (not rewritten)" on the rewrite card. The outline shows which reference articles each writer gets, the facts are added to the steps they belong to, and the reference documents themselves are not rewritten.

How large can a skill be?

A skill's text goes with every request, so a skill gets one eighth of the model's context window. A larger skill uploads, but a rewrite that picks it is refused before anything starts, and Docsie names the file that does not fit. Shorten the file or split the skill.

Is anything published automatically?

No. A rewrite is saved as a draft. Request a review from the result card, then publish the shelf and its books when the guide is ready; portals pick up the change within a few minutes.

I have a video, not notes. What should I use?

Use Docsie video to SOP, which turns a process recording into a procedure with screenshots from the video. The same template, glossary and review apply.

Can I export the guide to Word or PDF?

Yes. The result card exports the whole shelf: the PDF has a cover page with the title, summary and date, then every article with its sections and steps, and the DOCX is an editable Word file with the same chapters.
